Economic Development Committee Minutes
March 16, 2026

Call to Order
The meeting was called to order by Chairperson Jack at 4:04 PM.
Old Business
Organizational Discussion
Robert’s Rules of Order: Rich recommended the use of Robert’s Rules of Order as a guideline,
particularly for new members, to ensure structured and effective meetings.
Committee Organization & Record Keeping: The importance of maintaining good housekeeping
practices and thorough historical records was discussed to allow the Committee to track progress
over time.
Agenda Format: Rich presented a sample blank agenda template for consideration as a
standardized format to be used monthly. We will continue to use the format provided in the
Guidelines and Procedures for Resident Volunteer Committees provided by the Town Board.
Onboarding Materials: The Committee discussed the absence of an onboarding packet for new
members including an introductory document, committee member contact information, and the
EDC mission statement. The Committee agreed to work toward creating a formal onboarding
packet.
Policies & Procedures: The Committee acknowledged the requirement to follow the Town’s
Conflict of Interest and Ethics Policies. Chair Jack suggested including Standard Operating
Procedures (SOPs) in onboarding materials.
Committee Roles & Responsibilities: Discussion included assigning members responsibility for
specific focus areas, with the expectation of providing monthly updates. The EDC is an advisory
committee to the Town Board and Rich suggested gathering data to make proposals to the Town
Board. Discussion about creating a shared file so that all the EDC information can be scanned into
it and the members can have access. Alexa to investigate the request. In addition to the advisory
role, there are projects with specific deliverables, e.g., WinterFest, Event Calendar, Business
Directory and Guide, continuing Synergy Summit Meetings, etc. that the Committee will continue to
pursue.
Winterfest Update
Chair Jack reported that feedback from Winterfest was overwhelmingly positive and commended
the Committee for a job well done.
Jack and Jennifer will be meeting with Chief Grattan, Captain Latham, Lieutenant Brewer, and Fire
Marshal Corwin to discuss concerns and gather recommendations for improvements and planning
for next year’s event. The meeting will be held on March 30, 2026, at 2:00 PM at Police
Headquarters.
New Business
Procurement Policy: Alexa distributed the Town’s Procurement Policy and reviewed it with the
Committee. Members were asked to adhere to the policy when considering purchases.
Synergy Summit – Future Planning: Jennifer led a discussion on the next phase of the Synergy
Summit. The Committee discussed how to build on prior meetings and emphasized the need to
establish new objectives moving forward.
Meeting Frequency: There was unanimous agreement to hold two meetings per month to improve
productivity and progress on initiatives for the next few months.
Water Advisory Committee Invitation: Jack referenced an invitation to attend a Water Advisory
Committee meeting on April 2, 2026 at 4:30 in the Rec Center Jack and Rich will attend on behalf
of the EDC.
Chair Transition: Chair Jack departed the meeting, and Co-Chair Paul assumed responsibility for
continuing the meeting.
Business Directory Discussion: Paul introduced the idea of developing a business directory. He
will coordinate with the Chamber of Commerce and report back. The Committee will further discuss
approaches to creating a directory and examples from other municipalities.
Calendar Committee Meeting: A Calendar Committee meeting is scheduled for March 18 at 3:30
PM via Zoom. Jennifer will host, along with Melissa Principe, Lisa Sannino, and Rosemary Winters
Business Incubator: Handout prepared by George Maul tabled to the next meeting to be held on
April 13, 2026.
